REPORTS TO: Director of Construction

 

SUMMARY:

This position is responsible for a variety of tasks related to district Operations. This individual must possess the ability to provide high level administrative support. Must have the ability to work quickly and handle multiple tasks simultaneously. This individual must possess a basic knowledge of customer service principles and processes.

 

QUALIFICATIONS:

High School diploma and demonstrated possession of knowledge, skills and abilities gained through at least 3 years of office experience or completion of a two-year business administration program. Experience with budgets, construction projects, and contracts is preferred.

 

KEY DUTIES AND RESPONSIBILITIES:

  • Organize, coordinate and schedule a variety of administrative duties
  • Maintains capital and special project budgets
  • Handle special projects and ensure deadlines are met
  • Responsible for construction projects website
  • Issues contracts and purchase orders to miscellaneous vendors
  • Obtain quotes from vendors for various projects
  • Prepare meeting agendas and record meeting notes
  • Manage records and designing electronic forms
  • Daily phone, email or in-person interaction with a variety of school personnel, maintenance staff and district administration
  • Execute vendor contracts, create purchase orders, key budget transfers, and process vendor invoices
  • Create project RFPs/RFQs, participate in pre-bid meetings, bid openings, and progress meetings
  • Create and maintain detailed budget sheets for capital, county funded, grant funded, ESSER, and other projects
  • Assist other operational departments as needed (maintenance, safety, transportation, school nutrition)
  • Communicate with vendors regarding contracts, invoices,
  • Scan and file all contracts, purchase orders and invoices into Construction Drive
  • Maintain digital and physical project records in an orderly and easily accessible manner
  • Submit quarterly financial reports to Rowan County Finance office for capital funds As well as vendor pay applications for payment on county funded projects.

 

  • Provide requested data/information as needed for Board of Education, cabinet, and departmental meetings
  • Assist in emergency related building preparation or damage repair response as needed
  • Assist in setting up conference rooms for meetings/trainings as needed
  • Participate in facility visits, project site walk-throughs and inspections as needed
  • Manage facility lease agreements for the district, including processing payment from the lessee
  • Assist the Director of Construction with site visits and project management
  • Perform other duties and accepts responsibility as assigned

 

 

TERMS OF EMPLOYMENT: 12 months

PROPOSED SALARY: Grade G
